Analyzing Team Member Productivity

Setting up Timesheets, Screenshots and Activity for Success

Hubstaff allows you to identify and overcome inefficiencies throughout your organization. The more you can visualize roadblocks, the easier and sooner you can address them.

Analyzing productivity shouldn’t be a threat to scare better performance out of team members, but rather a tool to guide them to their potential. Productivity, of course, helps the business, but it also helps team members gain a sense of fulfillment and meaning from work. Using timesheets, screenshots and activity metrics in Hubstaff, you can help your team do their best work. Together. That’s what Hubstaff is about. Let’s get started.

How to Prevent Productivity Dips

Hubstaff allows you to use the platform in the way that makes the most sense for your team. You can employ as many or as few features as you’d like. However, we’ve found that teams that use the platform to its full extent get the most benefit. The following steps can help you utilize all of the tools Hubstaff offers in order to improve performance.

1. Identify Goals and Key Performance Indicators (KPIs)

Though there are many different ways to assess productivity, we’ve found the key is to first identify expectations upfront and then clearly communicate those expectations to everyone involved. Utilization, activity levels and app usage can all be applicable metrics. Once your preferred KPIs are established, you can monitor time against them. When there’s transparency across teams, there’s no confusion about what productivity looks like within your organization.

2. Setup Projects and Tasks

Using Hubstaff to set up projects and assign tasks to your team allows everyone to see what is a priority and what isn’t. Each task can be commented on as your team works through it for better communication. These projects can be as broad or specific as you need, whether you want to set up the entire year’s sales goals or a new hire’s onboarding.

3. Prioritize Tasks into Sprints

A sprint is a list of tasks that should be able to be completed within a certain timeframe, most often a week or two. What happens within that timeframe is often agreed upon during a standup, and then split into tasks for each team member. Sprints can roll up into larger goals but the idea is to create a reasonable amount of work for each person during a defined time period.

4. Use Reporting Frequently

In Hubstaff, you can review user activity at a glance and nudge them back toward the top priority tasks. Take a look at our Reporting Screen Walkthrough for an in-depth explanation.

The best way to optimize your team is to use your management dashboard and identify areas of improvement. With Hubstaff, you can review metrics and rely on helpful tools to spot the areas where you need to direct your attention.

If you’ve tried these steps and are still facing low productivity, it’s time to Identify the Source of Decreased Productivity.
